5 Tips for Organizing an Outdoor Event

The weather in the Netherlands has been beautiful lately, making it an ideal time to organize an outdoor event. This is a great option, especially considering COVID-19 circumstances, as the risk of infection is significantly lower outdoors and you often have more space to work with. It’s easier to maintain distance outside than inside. However, organizing an outdoor event often requires additional arrangements.

Here are 5 tips to ensure your outdoor event runs smoothly!

  1. What do we do if it rains?

The most common question you’ll receive when organizing an outdoor event is, “What do we do if it rains?” Of course, the weather is not always predictable in the Netherlands, but you can prepare for the unexpected. Always have a backup plan: consider arrangements that provide shelter. Look into having an outdoor stand, a pop-up, or a tent. Also consider whether there’s a venue with existing coverage. You might also think about providing (branded) raincoats or umbrellas.

  1. Prepare Your Guests

Make sure your guests feel comfortable and enjoy themselves at your outdoor event. Inform them in advance if they need to bring anything, such as water, sunscreen, snacks, umbrellas, or something to sit on. Consider everything your guests might need at your event, and check whether there are facilities nearby where they can acquire anything they might forget.

  1. Be Prepared for Emergencies

Many things can happen at an outdoor event; nature can be unpredictable. It’s advisable to have an emergency number handy. Also be prepared for minor incidents, such as insect bites, sunburn, bruises, or mild dehydration. Ensure you have a first aid kit ready, along with extra sunscreen, insect repellent, disinfectant, and plenty of water. Your guests will appreciate your preparedness. And very importantly: make sure there are toilets and places for handwashing nearby.

  1. Sound Control & Regulations

Even though your event is outdoors, this doesn’t mean you can make a lot of noise without consequence. Check the regulations of the municipality regarding your chosen venue: how late can the event last, is it permitted to make sound, and if so, what are the sound limits?

  1. Leave No Mess Behind

If you decide to host an outdoor event, ensure you leave no mess behind. As the organizer, you are responsible for cleaning up the location after the event ends.
